Privacy Policy

TRUCount Pro ("we", "us", "our") operates the TRUCount Pro platform at console.trucountpro.com and related services. This Privacy Policy explains how we collect, use, store, and protect personal data when you use our services.

1. Who we are

Data controller: TRUCount Pro (trading name — insert registered legal entity name and address).

Contact: privacy@trucountpro.com

2. What data we collect

We may collect and process:

  • Account data — name, email address, password (stored hashed), role, organisation/account assignment
  • Security data — two-factor authentication settings, login timestamps, IP addresses, audit logs
  • Operational data — customer/site/device/sensor data you enter or that is collected through connected hardware (as applicable to your subscription)
  • Support and communications — messages you send to us, consent records, GDPR requests
  • Technical data — browser type, session identifiers, server logs

We do not intentionally collect special category data unless you provide it and we have a lawful basis.

3. How we use your data

We use personal data to:

  • Provide and administer your account and the platform
  • Authenticate users and protect against fraud and abuse
  • Operate monitoring, alerting, and reporting features you enable
  • Comply with legal obligations and respond to data subject requests
  • Send service-related emails (e.g. invitations, password resets, security alerts)
  • Send marketing communications only where you have opted in

Lawful bases (UK GDPR): contract performance, legitimate interests (security, product improvement), legal obligation, and consent where required.

4. Sharing and processors

We may share data with:

  • Infrastructure providers — e.g. Amazon Web Services (hosting, database, email delivery)
  • Professional advisers — lawyers, accountants, insurers where necessary
  • Authorities — when required by law

We do not sell personal data. A list of sub-processors is available on request.

5. International transfers

Data is primarily processed in eu-west-1 (Ireland). If data is transferred outside the UK/EEA, we use appropriate safeguards (e.g. Standard Contractual Clauses).

6. Retention

We retain data only as long as needed for the purposes above, including:

  • Account data — while your account is active and for a reasonable period after closure
  • Audit logs — as configured (typically 12–24 months unless law requires longer)
  • Backups — according to our backup retention schedule

7. Your rights

Under UK GDPR you may have the right to:

  • Access your data (including export via Privacy & Data in the app)
  • Rectify inaccurate data
  • Erase data in certain circumstances
  • Restrict or object to processing
  • Data portability
  • Withdraw consent (where processing is consent-based)
  • Lodge a complaint with the ICO (ico.org.uk)

Use in-app Privacy & Data settings or contact privacy@trucountpro.com.

8. Security

We use industry-standard measures including encryption in transit (HTTPS), hashed passwords, role-based access, audit logging, and restricted database access. No method of transmission over the Internet is 100% secure.

9. Cookies and sessions

We use strictly necessary session cookies to keep you signed in. See your browser settings to manage cookies. We do not use non-essential tracking cookies without consent.

10. Changes

We may update this policy. Material changes will be notified via the platform or email. The "Last updated" date at the top of this page will change accordingly.
